Choosing a team management app on features alone is how teams end up with surprise per-player pricing and ads. Score each option on real monthly cost, payment fees, RSVPs, and ease of use, then compare the numbers, not the feature lists.
Score each app 1–5 (5 = best). Add up the columns; highest total wins.
Cost
- Real monthly cost at your team size (flat beats per-player as you grow)
- Extra payment-processing fees: is there a markup on top of Stripe's ~2.9% + 30¢?
- Ads: any at all? What does removing them cost, and is it per player?
The jobs you do every week
- RSVPs / attendance: can players respond without creating an account or installing anything?
- Collecting money: built in? Tied to the roster? Reminders?
- Messaging & announcements: a real staff-only channel, not just a group chat
Friction
- Ease for your least-techy player or parent
- Setup time for you
- Support: do real humans answer, and how fast?
- Lock-in: can you export your roster and leave without a fight?
How to use it. Don't just total the raw scores. Weight them:
- Pick the 2–3 rows that matter most for your team (e.g. flat cost, no ads, no-account RSVPs).
- Double the score on those rows before adding.
- Compare weighted totals, not feature counts.
A tool that nails your three priorities and skips a dozen features you'll never touch will beat the "does everything" option every season. Be honest about what you'll actually use.
